Privacy Policy

Last updated October 30, 2026

This policy is a plain-English summary of how ChatKeywords works. If anything here is unclear, email hello@chatkeywords.com.

This page explains what data ChatKeywords collects, why, who we share it with, and the choices you have. See also our Terms of Service.

1.Who we are

ChatKeywords (chatkeywords.com) is run by MJT Ventures LLC, doing business as ChatKeywords, a company in the United States. In this policy, “we” and “us” mean MJT Ventures LLC.

ChatKeywords tracks how AI assistants answer questions about businesses. It also tracks Google rankings, shows which AI crawlers visit a website, and sends reports.

For questions about your data, email hello@chatkeywords.com.

2.What we collect

Your account

  • Your email address, so you can sign in and get emails from us.
  • If you sign in with Google: your name and your Google account ID. We don’t get your Google password or access to your Google files.
  • When you sign in, we keep the IP address and browser type with your sign-in session, so we can keep your account safe.

Your workspace

  • The brand name, domain and competitors you enter.
  • The questions (prompts), keywords and topics you track.
  • Report branding you add, such as a name, color and logo (Agency plan).
  • API keys you create. We store only a scrambled (hashed) form of each key.

Public web content

  • To build your question pack, we read public pages from your website.
  • We collect the answers and citations AI assistants give to tracked questions, and Google search results for tracked keywords. These are public outputs, not your personal data.

Billing

  • Payments are handled by Stripe. We store your Stripe customer and subscription IDs. We never see or store your card number.

Usage

  • When you were last active in the app, and when you last clicked a link in one of our emails. We use this for the Free-plan pause rule (see our Terms). We don’t track email opens.

IP addresses on our free tools

  • Our free tools work without an account. To stop abuse, we limit how often they can be used. For this we keep a hashed form of your IP address, mixed with a secret value, not the IP address itself.

AI crawler analytics

  • If you send us crawler data from your website (with our Cloudflare Worker snippet or a server log upload), we count bot visits only. We use bot IP addresses only to check that a bot is real (for example, that “GPTBot” really comes from OpenAI). We never store those IP addresses.
  • When you upload a server log, we read it once, keep daily bot totals (day, bot, page path, number of visits and errors), and do not keep the file. Visits by people in the log are only counted, never stored.

3.How we use it

We use your information to:

  • run ChatKeywords: collect answers, score your visibility, show your dashboard and build reports;
  • sign you in and keep your account secure;
  • bill you, if you have a paid plan;
  • send the emails described below;
  • stop abuse, fix problems and keep the service running.

We do not use your data for advertising. We do not sell it.

4.How AI questions are asked

We send your tracked questions to AI providers through their APIs: ChatGPT (OpenAI), Perplexity, Google AI Overviews and AI Mode (through DataForSEO), and, as paid add-ons, Claude (Anthropic) and Gemini (Google).

  • The questions are generic questions, the kind anyone might ask. We don’t send your email, your account details or your private data with them.
  • Many questions are shared: if a question doesn’t name a brand, we ask it once and reuse the answer for every customer tracking it. No customer can see who else tracks a question.
  • Answers from the APIs can differ from what you see in each assistant’s own app.

5.Google Search Console data

If you choose to connect Google Search Console, we ask Google for read-only access to your Search Console data. We can’t change anything in your Search Console account.

  • What we read: your Google account email, the list of sites you can access, and for the site you pick, daily clicks, impressions, average position and the search queries that showed it.
  • What we use it for: only to show you your own data in ChatKeywords: next to your AI share, on your Overview, in your Keywords table and in your Weekly Tally.
  • What we never do: your Search Console data is never sold, never used for advertising, and never used to train AI models. We don’t sell it, and we don’t share it with anyone else except our AI provider, as described below.
  • How it’s protected: the access token Google gives us is stored encrypted.
  • Deleting it: when you click Disconnect in Settings, we revoke our access at Google and delete the token and all your Search Console data from ChatKeywords. Deleting your workspace or account does the same. You can also remove access in your Google account’s security settings.

To suggest new questions, we may send your top search terms to our AI provider (Anthropic) to rewrite them as questions. They are processed only to create your suggestions and are not used to train AI models.

ChatKeywords’ use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

6.Emails we send

  • Sign-in links and other account emails. These are needed to use the service.
  • Alerts and the Weekly Tally. You can turn these off in Settings, or with the one-click unsubscribe link in every one of these emails.

We send email through Resend.

7.Cookies

We use only the cookies the site needs to work. There are no advertising or analytics trackers on chatkeywords.com.

8.Who we share data with

We share data only with the companies that help us run ChatKeywords (“subprocessors”), and only what each one needs:

CompanyWhat for
Google CloudHosting, database and file storage (United States)
StripePayments and invoices
ResendSending email
OpenAIChatGPT answers
PerplexityPerplexity answers
DataForSEOGoogle AI Overviews, AI Mode and Google rankings
AnthropicClaude answers (add-on)
GoogleGoogle sign-in; Gemini answers (add-on)

AI providers and DataForSEO receive the questions and keywords, not your account details.

We may also share data if the law requires it, to protect our rights or users’ safety, or as part of selling or merging the business (we would tell you first).

Client share links (Agency plan). If you create a share link for a report, anyone with the link can view that report until you revoke the link or it expires. Share links only with people you trust.

9.How long we keep data

  • Raw AI answers are kept for 13 months, then deleted automatically.
  • Scores and metrics are kept while your account exists, so you can see your history.
  • Account data is kept until you ask us to delete your account. Email hello@chatkeywords.com and we’ll delete it.
  • Backups roll off on our database provider’s (Google Cloud SQL) normal schedule, so deleted data can stay in backups for a short time.
  • We may keep billing records as long as tax law requires.

10.Your rights

Wherever you live, you can ask us to:

  • see the personal data we hold about you;
  • correct it;
  • delete it;
  • export it in a common format;
  • stop using it for something you object to.

Email hello@chatkeywords.com from your account email. We’ll reply within 30 days. We won’t treat you differently for using these rights.

11.If you are in the EEA or UK (GDPR)

We use your data on these legal grounds:

  • Contract: to provide the service you signed up for.
  • Legitimate interests: to keep the service secure, stop abuse and improve it.
  • Legal obligation: for things like tax records.
  • Consent: where we ask for it. You can withdraw it at any time.

We store data in the United States. When data moves out of the EEA or UK, we rely on our providers’ legal transfer tools, such as the EU Standard Contractual Clauses.

You can also complain to your local data protection authority.

12.If you are in California (CCPA/CPRA)

  • The data we collect is listed in What we collect. We use it for the reasons in How we use it.
  • We do not sell your personal information. We do not share it for cross-context behavioral advertising.
  • We don’t use sensitive personal information to infer things about you.
  • You have the right to know, delete, correct, and to not be discriminated against for using your rights. You can use an authorized agent.

To make a request, email hello@chatkeywords.com.

13.Security

We use HTTPS everywhere. Sign-in tokens, API keys and share-link tokens are stored only in hashed form. Access to our systems is limited. No system is perfectly secure, but we work to protect your data and will tell you if a breach affects you.

14.Children

ChatKeywords is a business tool. It is not for anyone under 16, and we don’t knowingly collect data from them. If you think a child has given us data, email hello@chatkeywords.com and we’ll delete it.

15.Changes to this policy

If we change this policy, we’ll update the date at the top. For important changes, we’ll email you before they take effect.
